Join Penn State Chicago's Board of Directors
It is that time again – our chapter is preparing for our annual Nominating Committee process that selects a slate of officers for our 2010 – 2012 chapter board of directors. We are looking for members who are interested in getting more involved and would like to join our chapter board for a two-year term.
Listed below is a brief description of chapter board positions and the timeline for the nominating committee process. If you are interested in serving on the Greater Chicago Chapter’s board, please email Gina requesting an application. Applications are due on March 31st.
Nominating Committee Timeline:
3/31 - Applications due
4/12 - 4/30 – Applicants will receive phone calls from the Nominating Committee
Week of 5/3 - Nominating Committee Call to discuss/recommend slate
Week of 5/10 - Nominating Committee Call to discuss/recommend slate (if necessary)
5/15 – Slate of officers presented to board & posted on website
07/31 - Annual Garden Party event & election of chapter board
Description of Chapter Board positions:
All chapter board members are expected to regularly attend and actively participate in board meetings, in addition to representing the board and chapter and Penn State events. Brief descriptions of the specific job duties are:
President
- Preside over chapter meetings and serve as the Chairman of the Board
- Serve as an ex-officio member of all chapter committees
- Manage the day-to-day business of the chapter
- Serve as the primary liaison with the Alumni Association and responsible for submitting reports required by the Alumni Association
- Participate as active member of the Executive Board
Vice President
Secretary
- Take board meeting minutes (or have someone available to do so in your absence)
- Act as custodian of official chapter records
- Work with President, Vice President and Treasurer to prepare required reports
- Participate as active member of the Executive Board
Treasurer
- Collect Chapter Mail at the Post Office
- Sort out and distribute mail to appropriate persons, primarily scholarship and membership
- Make bank deposits and recap on the deposit receipt the activity the check represents
- Prepare three (3) financial reports for all board meetings
- Treasurer’s Report showing bank statement balances, checks written, and deposits made
- A Balance Sheet Report
- A Cash Flow Report, which shows every single transaction the takes place
- Report reflects cash inflows (revenues), cash out flows (expenses) and a net inflow or outflow for each Chapter activity
- Report reconciles the transactions to the change in assets from the previous year-end to the current month being reported
- Reconcile each deposit to the Cash Flow Report’s activity
- Make sure the various Chapter Chairs’ reports, particularly Sports, Scholarship, and THON, as well as other Chapter events reconcile to the Treasurer’s Cash Flow report
- Prepare annually, an IRS Form 990Z for Tax Exempt organizations
- Information needs to be gathered over a five-year period
- Collection of aggregate contributions from any one individual over a certain threshold needs to be coordinated with all Chairs
- Participate as active member of the Executive Board
- Represent the chapter & board at Penn State events
Past President
- Provide historical insight on chapter opportunities and events
- Support the incoming President and executive board
- Update the chapter hotline monthly with chapter information and events
- Maintain the chapter clothing inventory
- Take the lead on special projects and requests as necessary
Communications
- Ensure open and regular lines of communication between the chapter and local Penn State alumni
- Maintaining the chapter website
- Creating and distributing electronic newsletters for chapter members
- Creating and distributing an annual hard-copy newsletter and occasional postcard to all local alumni
Scholarship
- Fundraising
- Soliciting applications from students
- Reviewing applications
- Recommending the annual awards to students and contributions to the Chapter endowment fund for Board approval
- Coordinating the approved awards with the Chapter Treasurer and Penn State representative in the Office of Student Aid
Social
- Recruitment and management of social committee members
- Present and implement ideas to help PSU Alumni to get to know other Alumni and develop camaraderie
- Plan crossover events with other committees such as the Sports and Service
- Providing activities and events which focus on socialization, appreciation, recognition, wellness, and philanthropy
Service
- Recruitment and management of Service committee members
- Timely financial reporting
- Timely communications reporting
- Management of chapter- and university-based initiatives
- Conjunctive partnership with the Social chair and its respective committee members
- Timely replying to local chapter members interested in participation
Sports
- Manage the purchase and sale of chapter football tickets
- Plan chapter sports-related events (including annual bus trip to a football game)
Membership
- Maintain chapter membership records
- Import membership data from paper forms to the chapter database
- Work with treasurer to balance membership financials
- Establish efforts to recruit new members and retain current members
Parents Student Interaction
- Compile an annual directory of Chicago-are Penn State students and distribute the directory to the students
- Maintain communication with Chicago area parents and students, including inviting them to our annual Garden Party event
Alumni Admissions
- Contacting students who have received offers of admission via LionsROAR;
- Coordinating volunteers for both college fairs, receptions, and open houses
- Working with Penn State to assure all fair volunteers have the appropriate materials
- Setting up training for the fall for the volunteers through Penn State
- Attending local college fairs as a representative of Penn State
- Assisting with student receptions and open houses
- Attending summer sendoff receptions hosted by the Alumni Association and the local alumni chapter
Members At Large
- Assist in involvement of planning an event
- Assist on special projects
- Assist committee chairs when as needed
- Attend and participate in board meetings
